This privacy policy explains how Dhyan Software Private Limited (“Dhyan Software”, “we”, “us”) collects and uses personal data when you visit dhyansoftware.com, buy a license, use the customer portal at app.dhyansoftware.com, run the Smart Add-Ons plugin on your store, or contact us.

1. Who is responsible for your data

Dhyan Software Private Limited, a company registered in India, is responsible for the personal data described in this privacy policy (the “data controller” or “data fiduciary”). Our registered details are at the bottom of this page. For any privacy question or request, email hello@dhyansoftware.com.

2. Data we collect about you

• Purchases: your name, email address, billing address, country and order details. Card and bank details are entered on Razorpay’s payment form and processed by Razorpay; we never receive or store your full card number.
• Account and licenses: your email address and name, your license keys, and for each site where you activate a license: its domain, activation dates, and WordPress and plugin versions.
• Support and contact: the messages and files you send us by email, contact form or portal ticket.
• Newsletter: your email address, if you subscribe. Every newsletter has an unsubscribe link.
• Website use: server logs (IP address, browser, pages visited) and usage statistics from Google Analytics (see Cookies below).

3. Data the Smart Add-Ons plugin sends from your store

When the Smart Add-Ons plugin runs on your WooCommerce store, it connects to Dhyan Cloud at api.dhyansoftware.com. This is what it sends:

• License activation and checks: your license key or license token, your site’s domain, and your WordPress and plugin versions. Checks run in the background while a license key is stored.
• Update checks (about twice a day): the plugin version, and the license token if one is stored.
• Add-on analytics: views, selections and deselections of add-on fields, and completed orders that include add-ons. Each event carries your site’s domain, product and field IDs, the selected option value, a random session ID, and for orders the WooCommerce order ID and revenue. For free-text fields, the option value is the text the shopper typed (for example, engraving text), cut to 255 characters.
• AI suggestions (only when a store admin asks for one): the product’s name, price and category, and your site language.

The plugin does not send shoppers’ names, email addresses, postal addresses or payment details. For analytics data about your shoppers, we act on your behalf, only to show you your analytics, so please mention it in your own store’s privacy policy. 4. How we use your data

• to take payment, deliver your license key and send receipts;
• to validate licenses, deliver plugin updates and run Dhyan Cloud services;
• to answer support requests;
• to send account emails, such as renewal reminders;
• to send our newsletter, if you subscribed;
• to keep our services secure and prevent fraud and license abuse;
• to improve our products, using aggregated statistics;
• to meet our legal, tax and accounting obligations.

If you are in the EEA or UK, our legal bases are: performing our contract with you; our legitimate interests in security, fraud prevention and improving our products; your consent, for the newsletter; and our legal obligations.

5. Who processes data for us

We do not sell your personal data. We share it only with the service providers below, which help us run Dhyan Software. Each has its own privacy policy:

• Razorpay: payment processing (Razorpay privacy policy (opens in new tab)).
• Hostinger: hosting for dhyansoftware.com, including the store and contact form (Hostinger privacy policy (opens in new tab)).
• Railway: hosting for Dhyan Cloud (api.dhyansoftware.com), the customer portal and their database (Railway privacy policy (opens in new tab)).
• Resend: delivery of account, license, website and newsletter emails (Resend privacy policy (opens in new tab)).
• OpenAI: generating AI upsell suggestions. We send the product details listed above using Dhyan Software’s own OpenAI account; you do not need your own OpenAI key (OpenAI privacy policy (opens in new tab)).
• Google (Google Analytics): website usage statistics (Google privacy policy (opens in new tab)).

We may also disclose data when the law requires it, or to protect our rights and our customers.

6. International transfers

Our service providers may process data outside India, including in the United States and the European Union. We use providers that protect data with contractual and security safeguards.

7. How long we keep data

• Orders and invoices: for as long as tax and company law requires, currently up to 8 years in India.
• Account and license data: while your license is active, and afterwards for as long as you might renew or need support. You can ask us to delete it.
• Add-on analytics: while your license is active. You can ask us to delete it at any time.
• Support messages: for as long as needed to handle your request and any follow-up.
• Newsletter: until you unsubscribe.

8. Cookies

Our website uses essential cookies from WordPress and WooCommerce for the cart, checkout and account login, and Google Analytics cookies to count visits and understand how the site is used. You can block or delete cookies in your browser; if you block essential cookies, checkout will not work.

9. Your rights

Depending on where you live, including under India’s Digital Personal Data Protection Act 2023 and the EU/UK GDPR, you can ask us to:

• give you a copy of your personal data;
• correct or complete it;
• delete it, unless we must keep it by law;
• stop using it for the newsletter or other purposes based on consent;
• send it to you in a portable format.

Email hello@dhyansoftware.com and we will reply within 30 days. This address is also our contact for privacy complaints and grievances. If you are in the EEA or UK, you can also complain to your local data protection authority.

10. Security

We use HTTPS everywhere, store license tokens encrypted on your site, and limit access to customer data to the people who need it. No system is perfectly secure, so if we learn of a breach affecting your data, we will tell you and the authorities as the law requires.

11. Children

Our products are for businesses. We do not knowingly collect data from anyone under 18. See our Terms of Service for who can buy from us.

12. Changes to this privacy policy

We will update this privacy policy when our services or providers change. The date at the top shows the latest version, and we will email active customers about important changes.
